Here is a description of the duties of the members of the Music Parents Board:
President Duties
- Serves as a liaison between music directors, the Music Parents Board, Unit 5 administration, and Music Parents members sharing updates and news when appropriate.
- Maintains open communication with music directors, the Music Parents Board, Unit 5 administration, and the general membership in regards to questions and/or concerns.
- Works with the members of the Board to set annual goals.
- Works with the Treasurer and the Board to establish the annual budget.
- Ensures that the webmaster and newsletter editor are all kept up to date on any schedule changes and issues.
- Reviews and approves all documents for publications.
- Communicates to the membership, via email, new information as received and necessary.
- Prepares agenda, schedules and presides over board meetings.
- Provides feedback to Unit 5 Music Parents Association board members for continuous improvement.
Vice President Duties
- Works with the co-vice president to coordinate their respective high school’s Spaghetti Suppers.
- Coordinates with the lead director to determine the dates and performance schedules.
- Coordinates kitchen details with kitchen manager.
- Prices and orders dessert (cookies).
- Prices and orders main course (Avantis).
- Works with treasurers to obtain cash boxes and reimbursement for items purchased, as well as to deposit funds from ticket sales.
- Oversees work and volunteers the night of the supper.
- Provides feedback to Unit 5 Music Parents Association board members for continuous improvement.
Treasurer/Assistant Treasurer Duties
- Maintains bank account including selecting a bank and signing checks.
- Oversees financial transactions.
- Works with the Board to establish the annual budget, comparing the actual revenues and expenses incurred against the budget.
- Oversees the development and observation of the organization’s financial policies.
- Creates and provides financial reports to the Board, the directors and the general membership.
- Ensures tax exempt letter is current.
- Completes taxes, maintaining W9s and 1099s.
- Assists in audits.
- Provides feedback to Unit 5 Music Parents Association board members for continuous improvement.
Secretary Duties
- Maintains and distributes Board meeting minutes.
- Maintains all Music Parent documents unless assigned to another board member.
- Submits documents to Webmaster for publication (or is webmaster)
- Provides feedback to Unit 5 Music Parents Association board members for continuous improvement.
- Posts information to social media (Facebook and Instagram)
- Creates Facebook events for Dine to Donates or other PUBLIC fundraising
- Maintains the Google PUBLIC fundraising calendar.
