Music Parents Board

Here is a description of the duties of the members of the Music Parents Board:

President Duties

  1. Serves as a liaison between music directors, the Music Parents Board, Unit 5 administration, and Music Parents members sharing updates and news when appropriate.
  2. Maintains open communication with music directors, the Music Parents Board, Unit 5 administration, and the general membership in regards to questions and/or concerns.
  3. Works with the members of the Board to set annual goals.
  4. Works with the Treasurer and the Board to establish the annual budget.
  5. Ensures that the webmaster and newsletter editor are all kept up to date on any schedule changes and issues.
  6. Reviews and approves all documents for publications.
  7. Communicates to the membership, via email, new information as received and necessary.
  8. Prepares agenda, schedules and presides over board meetings.
  9. Provides feedback to Unit 5 Music Parents Association board members for continuous improvement.

Vice President Duties

  1. Works with the co-vice president to coordinate their respective high school’s Spaghetti Suppers.
    1. Coordinates with the lead director to determine the dates and performance schedules.
    2. Coordinates kitchen details with kitchen manager.
    3. Prices and orders dessert (cookies).
    4. Prices and orders main course (Avantis).
    5. Works with treasurers to obtain cash boxes and reimbursement for items purchased, as well as to deposit funds from ticket sales.
    6. Oversees work and volunteers the night of the supper.
  2. Provides feedback to Unit 5 Music Parents Association board members for continuous improvement.

Treasurer/Assistant Treasurer Duties

  1. Maintains bank account including selecting a bank and signing checks.
  2. Oversees financial transactions.
  3. Works with the Board to establish the annual budget, comparing the actual revenues and expenses incurred against the budget.
  4. Oversees the development and observation of the organization’s financial policies.
  5. Creates and provides financial reports to the Board, the directors and the general membership.
  6. Ensures tax exempt letter is current.
  7. Completes taxes, maintaining W9s and 1099s.
  8. Assists in audits.
  9. Provides feedback to Unit 5 Music Parents Association board members for continuous improvement.

Secretary Duties

  1. Maintains and distributes Board meeting minutes.
  2. Maintains all Music Parent documents unless assigned to another board member.
  3. Submits documents to Webmaster for publication (or is webmaster)
  4. Provides feedback to Unit 5 Music Parents Association board members for continuous improvement.
  5. Posts information to social media (Facebook and Instagram)
  6. Creates Facebook events for Dine to Donates or other PUBLIC fundraising
  7. Maintains the Google PUBLIC fundraising calendar.
